Application for official degree certificates

I HAVE COMPLETED MY BACHELOR'S, MASTER'S OR PHD DEGREE (UNDER "BOLOGNA"). WHEN AND HOW CAN I APPLY FOR MY DIPLOMA?

To apply for the degree certificate of a Bachelor’s, Master's Degree or PhD degree from the University of Deusto (under "Bologna"):

The University of Deusto has set up a self-service system that allows you to apply for the official degree certificates of current programmes and pay the fees online using the following link.

Remember that in order to apply for the issue of your degree certificate, you must not have any pending documents in your file and you must be up to date with all payments.

Important: please check that the personal details you provided to us are correct, as they will appear on your diploma. If they are incorrect or they have changed, please do not apply. You should request the updating of your personal details by sending a certified photocopy of your identification document to the General Secretariat of the University, or by submitting the original document and a photocopy for verification purposes.

Degree Certificate for the Bachelor’s Degree in Politics, Philosophy and Economics (interuniversity joint degree):

If you have successfully completed the degree programme leading to the award of an official Bachelor’s Degree in Philosophy, Politics and Economics at Comillas Pontifical University and the University of Deusto, or those leading to an official Bachelor’s Degree in Philosophy, Politics and Economics from  Comillas Pontifical University, the University of Deusto and Ramon Llull University (interuniversity joint degrees), you should bear in mind that the Comillas Pontifical University will be the coordinating university responsible for issuing the official diplomas and the European Diploma Supplement (EDS).

Graduates completing their studies at the UD  should request the UD for their degree certificate and the UD will be responsible for placing the order to process it at the coordinating university. The degree certificate and the EDS will be sent by the Comillas Pontifical University to the UD for delivery to the person concerned.

Important: Graduates of Erasmus Mundus degrees should contact the Master's office (Faculty) before applying.

When can I apply?

If you have been enrolled in the study programme you have completed this academic year, please check the application start date for each call. At the end of each semester, it is necessary to carry out file closure processes before those who have finished their studies can request their degree certificate.

You will find specific information in the Enrolment Instructions each year; but as a reference, applications start 3 weeks after the end of the assessment period in each session.

For subsequent academic years following the completion of studies, the enrolment period is open all year (except for August and UD holiday periods).

I HAVE COMPLETED MY BACHELOR'S, ENGINEERING, DIPLOMA, TECHNICAL ENGINEERING OR PHD STUDIES (“PRE-BOLOGNA”) HOW CAN I APPLY FOR MY DEGREE CERTIFICATE?

If the study programme concerned corresponds to a previous (non-Bologna) regulation and is no longer in force, then two cases should be differentiated.

  • Studies completed before 1988: The diploma is issued by the Ministry responsible for Education. Those concerned should apply to the university where they completed their studies, but will not have to pay any fees to the university. Please, contact the General Secretariat in person or by e-mail (secretaria.general@deusto.es) and attach a scanned copy of your valid identity document, clearly indicating "Degree obtained prior to 1988".
  • Studies completed in 1988 or later: The University is responsible for issuing the degree. You can apply for your degree certificate by post or in person at the General Secretariat of the University of Deusto. To do so, you must fill in the application form, sign it and submit it together with the required supporting documents, as detailed on the back of the application form.

Please remember that, in order to be able to apply for the issue of your degree, you must not have any pending documentation in your file and you must be up to date with all payments.

Important: if you have changed any of your personal details, you must request that your details be updated by sending a certified photocopy of your identification document or by submitting the original document and a photocopy for verification purposes to the University’s General Secretariat.

HOW AND WHEN WILL I RECEIVE MY OFFICIAL DIPLOMA?

Once your application has been processed and you have received the National Register of Graduates number from the Spanish Ministry, a Provisional Replacement Certificate will be issued.

This document contains the same data as the degree certificate and will have the same effect until the degree certificate is issued. It will be valid for up to one year; therefore, it should be kept carefully. It is usually sent to the address you provided to us by registered post within approximately 15 days.

Once your application has been processed and you have received the National Register of Graduates number from the Spanish Ministry, a Provisional Replacement Certificate will be issued.

If you wish to collect the Provisional Replacement Certificate in person at the University (you or a duly authorised person), you must inform the University when you apply for your degree cert so that it is not sent by post.

Certificates will be issued and made available within the maximum time limit laid down by law. When your degree certificate is ready for collection, you will receive an email in your @opendeusto.es address and in the personal account you provided to us when you submitted your request. If you change your email address, please remember to inform the General Secretariat so that their database can be updated and you can receive the notification for the collection of your certificate correctly.

Degree certificates must be collected by the person concerned. If the person concerned is unable to come to the university, the legislation provides for two alternatives:

  • It may be collected at the University by an authorised person by power of attorney.
  • It may be sent to the Education Department Office in another province or to the consular office in another country, at the request of the interested party (signed letter).

Important: To be valid, once collected, the certificate must be signed by the person concerned. No notes, annotations or other additions should be made to the degree certificate, as this would invalidate it.

CAN I REQUEST A DUPLICATE DEGREE CERTIFICATE?

Only one duplicate certificate can be requested:

  • Due to loss, destruction or damage. In case of loss, the legislation requires publication of a notice in the BOE (Spanish Official Gazette) prior to the processing of replacement certificate. This publication is managed through the University. One month after it is published, if the degree certificate has not been found, the University will begin the process of issuing a duplicate certificate.
  • Due to change in personal data.
  • To include successive specialisms (Bachelor's) or specialisations (Master's).

In the first two cases, the diploma (physical medium) that had been issued must be invalidated.

If the diploma was obtained before 1988, the diploma will be issued by the Ministry responsible for education. Those concerned should apply to the university where they completed their studies, but will not have to pay any fees to the university. Contact us in person or by e-mail (secretaria.general@deusto.es) with a scanned copy of your valid identity card, clearly indicating "Degree obtained prior to 1988".

In any case, the application for the issuing of a duplicate of a diploma must be processed by the General Secretariat; it is not possible to process using the self-service system.

Important: The issue of a duplicate official diploma does not include a copy of the EDS.

Graduates in Philosophy, Politics and Economics from the Comillas Pontifical University and the University of Deusto or from the Comillas Pontifical University, the University of Deusto and the Ramon Llull University (interuniversity joint degrees) must apply for a duplicate diploma at the Comillas Pontifical University (Madrid), the coordinating university.

I NEED A CERTIFIED PHOTOCOPY OF MY DIPLOMA

The University of Deusto is not a public university and its staff does not include civil servants. Hence, it does not issue certified copies.

To obtain a certified copy you can:

  • Go to a notary's office
  • Submit a simple copy and the original document (for verification purposes) to the entity to which it is to be accredited, the recipient of the document.

EUROPEAN DIPLOMA SUPPLEMENT REQUEST (EDS)

What is the European Diploma Supplement (EDS)?

A certificate issued for certain Official Degree Programmes. (Spanish Official Diplomas)
It contains details of your academic record, as well as other general information about your degree (fields of study, position in the national education system, access to higher education, etc.).
It is issued in Spanish, Basque and English. It can only be issued once an application for the issuing of the corresponding official degree certificate to which it corresponds has been made.

How can I request my EDS?

Graduates from Bachelor’s, Diploma and Technical Engineering degrees from the University of Deusto in the 2005-06 academic year and subsequent years, may apply for their European Diploma Supplement (EDS) once they have requested their degree certificate (or simultaneously) (EDS application form).
For Bachelor's, Master's and PhD degrees, it will be issued ex officio to those who have applied for the degree certificate as soon as possible.
The University of Deusto is still completing the procedure for the issuing of the EDS for Bachelor’s, Master's and PhD degrees.
However, academic transcripts contain the information that will go to the EDS, albeit not in English.
Those who have obtained the official degree of Baccalaureatus in Theologia or Licenciatus in Theologia from the Holy See will start the EDS issuing process once they have requested their degree certificate.

How and when will my EDS be available?

The European Diploma Supplement (EDS) can take up to 45 days (one and a half months) to prepare.
Once printed, you will receive it by registered post to the address you provided to us. If you prefer, you can come to the University to collect it. It can be collected by a duly authorised person, as can other certificates. To do this, you must inform us when you request your degree certificate so that your EDS is not sent by post.

Can I apply for a duplicate EDS?

The EDS is a certificate. Duplicates are not issued, only different copies, without limitation, at the request of the interested party, on payment of the established fees, once the first copy has been issued.
The University of Deusto is still completing the necessary work for the issuing of the EDS for Bachelor’s, Master's and Doctoral degrees.
Graduates in Philosophy, Politics and Economics from Comillas Pontifical University and the University of Deusto or from Comillas Pontifical University, the University of Deusto and Ramon Llull University (interuniversity joint degrees) must apply for additional copies of SET to be issued at Comillas Pontifical University (Madrid), the coordinating university.
